Small businesses can have significant privacy responsibilities. A CRM, payroll system, booking service, or website form may hold personal information. The applicable duties depend on what is processed, the organization’s role, and the relevant legal definitions and exceptions.
Start with three questions
What personal information do you hold, and why? Who can access it, including suppliers? Who handles a request to inspect or correct information? Record the answers and make sure the person responsible can find the relevant systems.
Match protection to the information
Review the security requirements that apply to your databases and activities. Sensitive medical or financial information can require different treatment from a basic contact list. An accurate privacy notice and a workable response process matter alongside technical controls.
Connect the work to customer assurance
International customers may ask for privacy policies, processing agreements, and evidence of control. An information inventory and a coordinated security program make those answers easier to support. Determine legal obligations with advice appropriate to your business rather than assuming every database has the same requirements.
